Microsoft 365 Business pricing

Microsoft 365 Business pricing runs from $7 to $22 per user a month on a yearly commitment, and a month-to-month subscription costs exactly 20% more on each plan. Prices are US list prices before tax, from Microsoft’s plan comparison page, as of October 2026.

PlanYearly commitmentMonthly subscriptionWhat sets it apart
Business Basic$7$8.40Web and mobile apps only, 100 GB mailbox
Business Standard$14$16.80Desktop Office on 5 PCs or Macs, 5 tablets, 5 phones
Business Premium$22$26.40Standard plus Intune, Defender, Entra ID and Purview

Every plan includes 1 TB of OneDrive storage per user. Microsoft also sells no-Teams versions (Basic is $5.40 yearly) and Standard or Premium “with Copilot” at $23.50 and $32. The Copilot Business add-on lists at $21, with an $18 first-year promo for existing customers through December 31, 2026.

The July 2026 increase. Microsoft raised Basic from $6 to $7 and Standard from $12.50 to $14 on July 1, 2026, and left Premium at $22 (licensing news). Existing customers pay the new price at their first renewal after that date. Several third-party pages still quote the old prices.

Commitment. Monthly plans cancel at any time without a penalty. A yearly plan paid upfront gets no refund after the first 7 days, and partner blogs report that paying a yearly plan in monthly installments costs about 5% more; Microsoft’s pricing pages don’t show that figure.

Cost per sending mailbox. Each mailbox is a licensed user, and the domain is billed elsewhere. Ten mailboxes on Business Basic cost $70 a month on a yearly commitment or $84 monthly; sixty cost $420 or $504. Exchange Online Plan 1, an email-only license, is $4 a user on a yearly commitment.

What Microsoft 365 Business does

Microsoft 365 Business gives each licensed user an Exchange Online mailbox, OneDrive storage and the apps in their plan. An admin adds your domain and assigns licenses from one admin center.

Copilot Chat is included at no extra cost but answers from public web data, not your files or email. Copilot inside the apps needs a “with Copilot” plan or the add-on.

For cold email, Microsoft 365 supplies the mailbox only. Exchange Online’s published limits allow 10,000 recipients per mailbox a day and 30 messages a minute. Trial tenants are capped at 5,000 external recipients a day in total.

Microsoft’s own position on that same page is that Exchange Online “isn’t suited to accommodate bulk-mailing scenarios” and that bulk commercial senders should use third-party providers. Accounts flagged for outbound spam are blocked from sending until an admin releases them. A planned cap of 2,000 external recipients per mailbox a day was dropped in January 2026, The Register reported. The cold email infrastructure guide shows what a sending setup adds around the mailbox.

Microsoft 365 Business strengths and drawbacks

Strengths

  • Desktop Office at $14. Business Standard installs Word, Excel, PowerPoint and Outlook on up to 5 computers, 5 tablets and 5 phones per user.
  • Large mailboxes. Business Basic includes a 100 GB mailbox at $7.
  • Security in one bill. Business Premium bundles device management, threat protection and identity tools, and its price didn’t move in July 2026.

Drawbacks

  • Rising prices. Basic went up 16% and Standard 12% in July 2026.
  • No cold email tooling. Sequences, warmup and reply handling all come from other products.
  • Support hours. Microsoft lists billing support as weekdays 9 AM to 5 PM in most regions, while technical support runs 24/7.
  • Unclear exits. Microsoft’s plan page says a cancelled subscription’s data is deleted, while its FAQ on the same page gives admins 90 days of limited access, so export first.

What Microsoft 365 Business users say

Microsoft 365 rates 4.6 out of 5 on G2 from about 5,860 reviews and 4.6 on Capterra from about 14,100, as of October 2026. G2’s review summary groups the most repeated complaints under cost, essential tools held back for pricier plans, and a suite that feels overwhelming to learn.

On Trustpilot, the Microsoft 365 email listing shows 1.3 out of 5 from 82 reviews. Microsoft hasn’t claimed that profile or invited reviews, so Trustpilot warns it may not be representative. One recent one-star review complains that Outlook keeps getting harder to use, and Capterra reviewers score customer service below the product itself.

Who Microsoft 365 Business is for

Microsoft 365 Business suits companies of up to 300 people that live in Outlook, Excel and Teams and want email, files, meetings and device security from one vendor.

Look elsewhere if you need more than 300 users, want the cheapest mailbox with no apps, or don’t want to manage DNS, licenses and warmup yourself. If I were licensing Microsoft mailboxes only to send cold email from, I’d keep them on the monthly subscription: the 20% premium buys the right to cancel without a penalty once a sending domain has run its course.

Alternatives to Microsoft 365 Business

Microsoft 365 Business: common questions

How much does Microsoft 365 Business cost?

Microsoft 365 Business Basic costs $7 per user a month, Business Standard $14 and Business Premium $22 on a yearly commitment. Month-to-month subscriptions cost 20% more: $8.40, $16.80 and $26.40. US list prices before tax, checked October 2026.

What is the difference between Microsoft 365 Business Basic and Business Premium?

Business Basic gives each user an Exchange mailbox, Teams, 1 TB of OneDrive and the web and mobile Office apps for $7 a month. Business Premium adds the desktop Office apps, a 1.5 TB archive and security tools (Intune, Defender, Entra ID, Purview) for $22, both on a yearly commitment.

Does Microsoft 365 Business have a free trial?

Yes. Microsoft offers a one-month free trial of Business Basic, Standard and Premium, but there's no free plan. A credit card is required, and the trial turns into a paid subscription automatically when it ends unless you cancel. Trial tenants can email at most 5,000 external recipients a day.

Is Microsoft 365 Business worth it?

For a business that already relies on Outlook, Word and Excel, usually yes. It rates 4.6 on G2 and Capterra, and $14 a user buys the desktop apps plus email and Teams. Complaints center on rising prices, complexity and support, so start on a monthly subscription if unsure.

Can you use Microsoft 365 for cold email?

Microsoft 365 can supply the mailboxes, connected to a separate sending tool, since it has no sequences or warmup. Exchange Online allows 10,000 recipients per mailbox a day, but Microsoft says it isn't suited to bulk mailing and blocks accounts flagged for outbound spam, so keep volume per mailbox low and authenticate your domain.

Is Microsoft 365 Business cheaper than Google Workspace?

On list prices they match at the entry level: Microsoft 365 Business Basic and Google Workspace Business Starter both cost $7 a user a month yearly, or $8.40 monthly, as of October 2026. One step up, both charge $14: Microsoft's Business Standard adds the desktop Office apps, and Google's Business Standard adds 2 TB of storage per user.

Licensing Microsoft mailboxes just for cold email?

Reachkit adds the sending, warmup and reply handling around Microsoft 365 mailboxes, but not Office apps. Connect your own mailboxes free during a 30-day trial, no card needed.
