Google Workspace pricing and review

Google Workspace is Google's paid business suite: Gmail on your own domain, plus Calendar, Drive, Docs, Meet and Gemini AI, billed per user.

Google Workspace at a glance

Reachkit makes a cold email tool and sells Google Workspace inboxes to its users, so it has a stake in this market. Every price on this page was checked in October 2026 against Google’s own pricing page and help center.

Google Workspace pricing

Google Workspace pricing starts at $7 per user a month for Business Starter on an annual plan, or $8.40 on the Flexible monthly plan. The list prices below come from Google’s business editions page, in USD per user per month, as of October 2026.

PlanFlexibleAnnual (per month)Storage per user
Business Starter$8.40$730 GB
Business Standard$16.80$142 TB
Business Plus$26.40$225 TB
EnterpriseSales onlySales only5 TB, more on request

Storage is pooled across the team. Business plans stop at 300 users; Enterprise has no cap and is sold through Google sales or resellers.

Flexible or annual. Annual saves about 16%, but you pay for every license you bought until the contract renews, and cancelling early still costs the full commitment (payment plans). Flexible lets you add or remove users and cancel at any time without a penalty.

Promotions. Google often shows new customers an introductory price on the pricing page. Its footnote limits that to the first 20 users for 12 months, while a banner on the same page offered up to 50% off the first 3 months, so trust the price shown at checkout.

Recent change. In January 2025 Google added Gemini to the Business plans and raised Starter from $6 to $7 and Standard from $12 to $14 (annual). Higher AI limits now need an AI Expanded Access add-on with no public price.

What sending mailboxes cost. Each mailbox is one paid user, and domains are billed separately. Ten mailboxes on Business Starter cost $84 a month on Flexible or $70 on annual; sixty cost $504 or $420.

What Google Workspace does

Google Workspace runs Gmail and Google’s office apps on your own domain from one admin console. An admin verifies the domain and creates users, and each user is one paid license with an inbox, storage and the apps.

Gemini is part of every Business plan. For Starter, Google’s pricing page lists Gemini in Gmail and the Gemini app, while its editions help page lists the Gmail assistant only from Standard. From Standard up it also works in Docs, Meet and the other apps.

For cold email, Workspace is the mailbox, not the sending tool. It has no sequences or warmup. A paid user can send 2,000 messages a day (sending limits), far above what cold emailers send per mailbox. Trial accounts get 500, and after the trial the full limits can take up to 75 days to arrive once the domain has paid $100 in total. Gmail mail merge counts toward the same limits.

Google’s acceptable use policy forbids unsolicited mass email (“spam”), and Google says accounts that send spam might be permanently restricted from sending. Separately, Gmail asks every sender to authenticate with SPF or DKIM and keep its spam rate under 0.3% (sender guidelines). Cold emailers pair Workspace with a separate sending tool. The cold email infrastructure guide covers that setup.

Google Workspace strengths and drawbacks

Strengths

  • Prices in the open. All three Business plans list a price, so you can budget without a sales call.
  • A real monthly option. Flexible plans add and drop users whenever you like, with no penalty for cancelling.
  • High sending ceilings. 2,000 messages per user a day on paid accounts.
  • AI at the base price. Gemini comes with Starter, and across the apps from Standard.

Drawbacks

  • Per-user pricing adds up. Every sending mailbox is a full license, so a cold email setup with many mailboxes pays for many seats.
  • Annual plans lock in the count. You can’t remove licenses until renewal, and you keep paying for them.
  • No cold email tooling. Sequences, warmup and reply handling come from other tools.
  • Billing and support complaints. Trustpilot’s review summary points to surprise charges, inflexible annual contracts and unhelpful support.

What Google Workspace users say

Google Workspace holds 4.6 out of 5 on G2 from about 48,000 reviews and 4.7 on Capterra from about 17,700, as of October 2026. G2’s summary credits ease of use and collaboration, and its most tagged complaints are missing or limited features.

Trustpilot shows 1.3 out of 5 from 164 reviews, 92% of them one star, on an unclaimed profile that Trustpilot warns may not be representative. The themes are billing, cancellation and support.

Inbox vendors’ blogs also report suspended Workspace accounts when new mailboxes send heavily from day one; those are vendor claims, not Google figures.

Who Google Workspace is for

Google Workspace fits a business that wants email, shared files, video calls and AI from one vendor at a known per-user price. It also suits cold emailers who want Google mailboxes they control, on a domain they own.

Look elsewhere if you only need cheap mailboxes and none of the apps, if your team already runs on Microsoft, or if you’d rather not handle DNS records and warmup yourself. If you buy Workspace seats for sending, I’d choose Flexible: a mailbox you stop using on an annual plan is still a seat you pay for until renewal.

Alternatives to Google Workspace

  • Microsoft 365: Microsoft’s suite with Outlook mailboxes, the other provider that done-for-you inbox services set up next to Google.
  • Zoho Mail: business email from $1 per user a month billed yearly (Mail Lite), though its usage policy rules out bulk and marketing email.
  • Zapmail: sets up Google Workspace or Microsoft 365 mailboxes and DNS for cold email, from $39 a month for 10 mailboxes in the first year. See Reachkit vs Zapmail.
  • Instantly: a cold email sender that also sells done-for-you Google inboxes at $5 each a month plus $15 a year per domain. See the Instantly profile.
  • Reachkit (our product): adds the sequences, warmup and inbox rotation Workspace lacks, on mailboxes you connect free. Or it registers new domains ($15 a year) and creates Workspace inboxes ($5 a month each) with warmup turned on. It has no Docs or Meet.

Google Workspace: common questions

How much does Google Workspace cost?

Google Workspace costs $7, $14 or $22 per user a month on an annual plan for Business Starter, Standard and Plus, or $8.40, $16.80 and $26.40 on the Flexible monthly plan. Enterprise is priced through sales. New customers often see an introductory discount at checkout. Checked October 2026.

Does Google Workspace have a free plan?

No. Google Workspace has no free plan, but new customers get a 14-day free trial for up to 10 users. You enter billing details at sign-up and are charged only after the trial ends. Trial accounts can send 500 emails a day instead of 2,000.

Is Google Workspace worth it?

For a business that wants email, files and meetings in one place, usually yes. It holds 4.6 on G2 from about 48,000 reviews, and $7 a user buys Gmail on your domain, 30 GB of storage, Meet and Gemini. Trustpilot complaints center on billing and support, so start on Flexible if unsure.

Can you use Google Workspace for cold email?

Yes, as mailboxes connected to a separate sending tool, because Workspace has no sequences or warmup. Google's acceptable use policy forbids unsolicited mass email, and accounts that send spam might be permanently restricted, so keep daily volume per mailbox low, authenticate your domain and keep spam complaints under Gmail's 0.3% limit.

Is there a cheaper alternative to Google Workspace?

Zoho Mail starts at $1 per user a month billed yearly for Mail Lite, against $7 for Google's Business Starter, as of October 2026. It covers email and calendar but not Google's full set of apps, and its usage policy rules out bulk and marketing email, so it isn't a fit for cold email sending.

What is the difference between Flexible and Annual plans?

Flexible is billed monthly with no commitment, and you can remove users or cancel anytime without a penalty. Annual is about 16% cheaper per user, but you pay for every license until renewal, even if you cancel early. You can move from Annual to Flexible only during the trial or at renewal.
